Roof Technologies Operations
Privacy Policy
Effective October 20, 2026
Overview
Roof Technologies Operations (“Roof Tech Ops”) is an internal business operations and team communication service used by Roof Technologies. This policy explains how Roof Tech Ops handles information when authorized team members use the web or mobile applications.
Information we handle
- Account and profile information: name, email address, profile image, organization, team, role, and sign-in status. If you sign in with Google, Microsoft or Apple, we receive your name and email address from that provider to match you to the account your company created.
- Authentication and security information: password hashes, verified phone number for SMS multi-factor authentication, one-time challenge records, session records, and trusted-device records. The mobile app stores session credentials in the device's protected credential storage.
- Business and communication content: chat messages, read state, and the operating records team members create or update (for example goals, tasks, issues, metrics and meeting notes).
- Photos, files and voice messages you choose to share: when you attach a photo, file or voice message in chat, we store it so the people in that conversation can see or hear it. The app asks for camera, photo library and microphone access only when you use those features, and never records or uploads anything you did not choose to send.
- Location you choose to share: when you tap “Share my location” in chat, your device's current position is sent once, as a message, to that conversation. The app asks for location access only when you use it and does not track your location in the background.
- Device and service information: mobile push token, platform, installation identifier, device label, sign-in timestamps, and security or change-audit records.
How we use information
We use this information to:
- authenticate users, protect accounts, and administer access;
- deliver chat, notifications, meetings, metrics, goals and other Roof Tech Ops features;
- operate integrations requested by Roof Technologies;
- answer questions asked of the in-app assistant, when Roof Technologies has enabled it;
- provide chat's AI features (catch-up summaries, Spanish and English translation, and voice messages written out) to people who have agreed to them;
- maintain reliability, investigate errors, and prevent abuse; and
- meet legal, security, and record-keeping obligations.
How information is shared
Information is visible to authorized Roof Technologies users according to their roles and team access. We also use service providers that support hosting, database and object storage, email, SMS, push notifications, sign-in, and enabled business integrations. When the in-app assistant is enabled, a question and the team records needed to answer it are sent to an AI service provider to generate the answer. Service providers receive only the information needed to provide their service. We do not sell personal information or use it for third-party advertising.
AI in chat
Chat's catch-up summaries, Spanish and English translation, and voice messages written out use Google Gemini, an AI service provided by Google. Each person is asked first, in the app, and these features send only the messages and voice messages of people who have agreed: the text of the messages involved, the names of the people who wrote them, and the audio of a voice message to be written out. People who say no, or who have not been asked yet, are never included, and people texting from outside the app are never included. Anyone can turn this off at any time in Settings, under Chat language, and from then on none of their messages or voice messages are sent. Text written by the AI is labeled as such and can be reported in the app; reports go to the company's administrators.
App Support
The App Support conversation in chat is for reporting problems with the app, asking how it works, and suggesting improvements. What is posted there, including screenshots and the name and role of the person who posted it, is read by an AI assistant (Claude, provided by Anthropic) so it can answer and fix problems with the app. The assistant's replies are labeled AI and can be reported. Only what is posted in App Support is shared this way.
Retention and deletion
We retain information while it is needed to operate Roof Tech Ops for Roof Technologies and for legitimate security, legal, and business-record purposes. Account data may be deleted or de-identified after an approved request, subject to required retention, organization-owned records, audit records, and routine backup expiration. See our account deletion instructions.
Security
Roof Tech Ops uses transport encryption, access controls, hashed credentials, expiring sessions, and protected mobile credential storage. No security measure eliminates every risk, so users should protect their passwords and report suspected account misuse promptly.
Children
Roof Tech Ops is a workplace service for authorized personnel and is not directed to children under 13.
